Position Concept

The Facilities Specialist performs duties to assist the Facilities Coordinator with the daily operation of the Polk County Sheriff’s Office Central Services Bureau.  This position includes assisting the Purchasing Unit, on an as needed basis, to perform operational and clerical duties but will not involve tasks directly essential to the purchase of goods and services.

 

The most important and essential job function of the position is attitude which includes the following: interacting positively and cooperating with co-workers, responding politely to customers, working as a team member, functioning under intense time pressure and responding in a positive manner to supervision.

 

The Facilities Specialist shall perform any other duties and tasks that may be required and shall have the physical, mental and emotional abilities to perform the essential job duties of the position.

Essential Functions

• Process requests for maintenance

• Maintain files/databases/spreadsheets
• Create purchase requisitions

• Coordinate background investigations for facility vendors/workers
• Monitor status of deliveries to include contacting vendor regarding delays, exceptions, damages and convey information to the Purchasing Agent

• Assist Facilities Coordinator with projects such as room setup, paperwork, work order tracking, etc.
• Maintain delivery dates in Requisition Tracking Log

• Coordinate building and equipment maintenance
• Answer phones

• Assist purchasing agents with projects to include but not limited to market research concerning product availability, development of supplier lists for bid process and obtaining quotes for commodities/services

 

Education, Professional Certification or License

High School Diploma or better

Professional Experience

• Demonstrated proficiency of keyboarding 35 wpm with no more than five errors
• Experience with Microsoft Word, Excel and Outlook preferred

Environmental Conditions

Work is performed primarily in an office environment with normal levels of stress
